Cancellation, Pre-Authorization & Refund Policy
Effective Date: November 3, 2026 · TravelGPT Technologies Inc.
Summary in plain English: Before your airline/hotel confirmation code (PNR) is issued, cancelling is 100% free and automatic — your Stripe card pre-authorization hold is voided with $0 charge and any Travel Wallet credits return immediately. Once tickets/PNRs are issued, airline and supplier fare rules apply.
1. Stage 1 — Pre-Ticketing Hold (CONFIRMED, No PNR Yet)
- Traveler Self-Cancel: Click Cancel Hold (Free) in Cabinet → Bookings at any time before a PNR is entered. Your uncaptured Stripe pre-authorization hold is cancelled immediately and any Travel Wallet credits used are restored in full.
- Unavailable Supplier Inventory: If a published fare sells out or reprices before ticketing, our Concierge Desk voids your card hold automatically ($0 fee) and notifies you by email.
- Automatic Expiry Safety Net: Any pre-authorization hold not ticketed before its authorization window closes is automatically voided so you are never charged for an unissued ticket.
2. Stage 2 — Ticketed / Confirmed Reservations (PROVIDER_CONFIRMED)
- Once a verified supplier PNR or hotel confirmation reference is issued and your payment is captured, cancellations, date changes, and refunds are governed by the underlying airline, hotel, cruise, or tour supplier's fare rules.
- To cancel or change a ticketed booking, click Request Cancellation / Change in Cabinet → Bookings. This opens an URGENT ticket directly with our Concierge Desk.
- Where the supplier permits a full or partial refund (for example, US DOT 24-hour eligible flights, refundable hotel rates, or partial refunds net of airline cancellation penalties), our team processes the exact refundable card amount back to your original payment method and restores any refundable Travel Wallet portion.
3. Split-Tender Refund Timelines
- Travel Wallet Credits: Restored immediately to your Travel Wallet upon cancellation or refund approval.
- Card Pre-Authorization Release: Sent to Stripe immediately; most issuing banks remove the pending hold within minutes to 3 business days.
- Captured Card Refunds: Submitted to Stripe immediately upon Concierge processing; typically posted by your card issuer within 5–10 business days.
